Industries / Healthcare administration
Lighten the front-desk and back-office load.
Clinics and practices carry a heavy administrative load: phone and email scheduling, reminders, intake paperwork, referrals, insurance admin and staff rotas. We automate non-clinical admin only. Diagnosis, treatment and clinical judgement stay entirely with your clinicians.
Fit
Who this is for
- Private clinics, dental, physio, therapy and specialist practices.
- Practice managers who want staff time back from repetitive admin.
- Groups with several locations and inconsistent admin processes.
Use cases
Workflows we can automate
- Scheduling and reminders. Handle booking requests from email and web forms, offer available slots from your scheduling system, and send reminders and rebooking prompts.
- Intake paperwork. Send intake forms before the visit, check they are complete, and file the information in the right place for staff to review.
- Referral and document processing. Read incoming referrals, faxes and letters, pull out the administrative details and create a task for staff to confirm and file.
- Billing and insurance admin. Prepare claim paperwork from visit records, track outstanding claims and draft follow-ups, with staff approving each submission.
- Staff scheduling and internal requests. Collect availability, draft rotas against your rules and route internal requests such as supplies or IT issues to the right person.
Which package fits
Where to start
- AI Automation Audit, from $3,500. Recommended first. Data handling in healthcare needs care, so we map the workflow, the systems and the data before anything is built.
- Automation & Agent Build, from $12,000. For one clearly scoped, non-clinical workflow such as reminders or intake completion.
- Automation Operations, from $3,000/month. Ongoing monitoring and updates once automations are live and relied on by the front desk.
Guardrails
How we keep it safe
- Non-clinical only: no diagnosis, triage, treatment advice or clinical decision-making.
- We make no compliance or certification claims. Your privacy officer or adviser decides which data may be used and where; we design to those decisions.
- We use the minimum data each step needs, and we prefer workflows that do not send health information to AI models at all.

FAQ
Questions we hear from healthcare administration teams.
Do you handle clinical tasks?
No. We only automate administrative work. Anything that involves clinical judgement, triage or advice is out of scope.
Are your automations compliant with health privacy laws?
We do not claim compliance or certifications. Compliance depends on your organisation, your agreements with vendors and how the system is used. We work with your privacy lead, document every data flow and build to the requirements they set.
Can this work without sending patient data to an AI model?
Often, yes. Many admin automations, such as reminders, form completeness checks and routing, can run on rules and metadata. Where AI is useful, we discuss with you which data, if any, it may see.
Where should a practice start?
With an audit. It maps the admin workload and your systems, and identifies the workflows that can be automated with the least sensitive data.
